JOB DESCRIPTION
RECREATION & SPECIAL EVENTS COORDINATOR
Supervised By: Director of Economic & Community Development
Supervises: Seasonal recreation program staff & volunteers
General Summary:
Under the general supervision of the Director of Economic & Community Development, the
Recreation & Special Events Coordinator develops, implements, and administers a wide
variety of adult and youth recreation programs and community special events. This position
also supervises volunteers and seasonal staff and coordinates promotional and recruitment
activities.
Essential Job Functions:
An employee in this position may be called upon to do any or all of the following essential

expected to perform. To perform this job successfully, an individual must be able to
perform each essential function satisfactorily.
1. Plans, organizes and promotes a wide range of recreational programs and special
events for adults and youth. Collaborates with the community to assess needs and
preferences, providing recommendations regarding the quantity and types of recreational
programs and special events to be offered. Attends and coordinates staffing for special
events as assigned, which may include evenings and weekends.
2. Maintains procedures and manages the scheduling of facility reservations and
rentals, including but not limited to: shelters, community garden plots, and sports fields and
courts.
3. Coordinates the review process for community special event permit requests by
routing them to relevant City departments, compiling departmental feedback, and
communicating permit determinations with stakeholders.
4. Promotes recreation programs and special events through advertising and
community outreach. Interacts with schools and other community groups, issues press
releases, publicizes events, and communicates other special interest items.
5. Publishes content on the Department's digital media communication channels.

6. Monitors and ensures the department's website content remains current and
accurate.
7. Monitors and appropriately responds to social media posts and messages and
programs.
8. In coordination with the Director and other City staff, maintains the Stewardship
Monroe volunteer program. Recruits, trains, schedules, and evaluates seasonal recreation
staff and program volunteers. Visits and observes events in progress to assess program
content and employee performance.
9. Maintains and implements a comprehensive special event sponsorship program,
including implementation strategies for effective donor identification, cultivation,
solicitation, and stewardship.
10. Manages the special event sponsorship program; negotiates and manages
sponsorship execution.
11. Coordinates sites, facilities, and equipment. Works with grounds maintenance
personnel to ensure the availability, preparation, and maintenance of parks and facilities
and appropriately disburse equipment.
12. Maintains inventory of supplies and equipment. Places orders and makes purchases
according to established procurement procedures and within budgetary guidelines.
13. Develops specifications and administers the bid process for significant purchases.
Assists with contract oversight to ensure vendor compliance with specifications.
14. In consultation with the Director, negotiates, prepares, and administers contracts
for events including, but not limited to, special event artists and performers and
tournament requests.
15. Responds to inquiries and investigates complaints regarding recreation department
procedures, policies, and programs. Provides appropriate oral or written responses and
initiates corrective or disciplinary actions for program participants, employees, or
volunteers as necessary.
16. Maintains records, compiles statistics, and prepares program participation and
operations reports. Monitors program efficiency and effectiveness and develops
recommendations for continuation, expansion, modification, or elimination.

17. Coordinates special community events and integrates recreational programming
with other organizations and governmental units to reduce duplication of effort.
18. Performs related work as required.

Requirements include the following:
● Minimum educational attainment of a
significant coursework in recreation, leisure services, or a related field preferred.

● Two to four years in recreational programming or special event management, with
some supervisory or administrative experience preferred.

● Knowledge of the professional principles, practices, and techniques of recreation
planning, programming, and evaluation.
● Knowledge of professional principles and techniques of marketing and advertising,
purchasing, personnel management, and contract administration.

recreation programs and sporting leagues.
● Skill in developing, coordinating, and evaluating a broad range of recreational
programming for diverse age groups.
● Skill in organizing schedules and coordinating associated resources.

● Skill in maintaining a comprehensive record-keeping system, compiling statistics,
generating reports, and developing programming recommendations.
● Ability to establish effective working relationships and use good judgment, initiative,
and resourcefulness when dealing with seasonal and volunteer staff, program
participants, vendors, other governmental agencies, and the public.
● Ability to communicate effectively and present ideas verbally and in writing.
● Demonstrated ability to effectively manage organization-wide social media
programs (personal social media experience does not apply).
● Demonstrated ability to establish effective working relationships and use good
judgment, initiative, and resourcefulness when dealing with the public, fellow
employees, contractors, professional contacts, City administrators, vendors, and
others.
● Ability to effectively train others and assign, coordinate, and evaluate the work of
volunteers and seasonal staff.
● The capacity to perform effectively within specified deadlines while managing
stress and adapting to changes in work priorities.
● Ability to attend meetings and events and monitor online communication channels
outside regular business hours.
Physical Demands and Work Environment:
The physical demands and work environment characteristics described here are
representative of those an employee encounters while performing the essential functions

While performing the duties of this job, the employee is regularly required to communicate
with others in person or by phone and view written documents. The employee works in an
office setting some of the time but travels to other locations regularly to work in diverse
settings, including outdoor weather conditions. The employee frequently is required to be
mobile in an office setting and outdoors and use manual dexterity to type or enter data
and write. The employee may occasionally be required to transport and lift equipment and

supplies of moderate weight. The noise level in the work environment is usually quiet in the
office and can range from moderate to loud while at program sites.
